Should salespeople connect ChatGPT to your dealership's customer records?

Yes, if the connection follows three rules. The assistant sees only what that salesperson can already see. Every action it takes is recorded under the rep's name. And it never texts a customer on its own: it writes a draft, and the rep confirms it. bkd.ai's personal AI agents are built on those three rules.

Why are salespeople already using ChatGPT at work?

Because it is on their phone and it is fast. Reps use ChatGPT, Claude and Grok to word a tricky reply, summarize a long thread, or plan their day. The problem is what they paste in to get there: customer names, phone numbers and deal details, copied into a chat window you do not control.

Banning it rarely works. The rep who finds a faster way to write a follow-up will keep using it, just quietly. The better question is not whether reps use an AI assistant. It is whether the assistant gets customer information through a door you built, or through copy and paste.

What should an AI assistant be allowed to see?

Exactly what the salesperson is allowed to see, and nothing more. If a rep cannot open another rep's customer in your software, their AI assistant should not be able to either. An assistant that reads the whole store's records with a store-wide key turns one rep's convenience into everyone's privacy problem.

In bkd.ai, a rep's assistant signs in as that rep. It reads their customers, their conversations, their notes and their call summaries, under the same rules the app uses. A manager's assistant sees what a manager sees. Connecting an assistant never widens anyone's access.

We covered the reporting side of this in our post on whether you can trust an AI answer about your dealership's sales numbers. This post is about the step after asking: letting the assistant do something.

Should an AI assistant be able to text your customers?

Only with a person confirming each message. An assistant that sends texts on its own can message the wrong customer, text someone marked Do Not Contact, or send at eleven at night. Drafting is safe. Sending should take a human tap, and a manager should decide whether the assistant can draft messages at all.

bkd.ai gives each connected assistant one of three access levels. Read lets it look things up. Act lets it add a task, book an appointment, move a deal stage or tag a customer. Message lets it draft a text or email for the rep to confirm. Messaging is off for the whole dealership until an admin turns it on.

Even with messaging on, every draft respects Do Not Contact and texting hours, and it sends from the rep's own number or mailbox, so the customer replies to the person they know.

How do managers see what an AI assistant did?

Every action should show up on the customer's timeline with a name on it. When an assistant adds a note or books an appointment, the record should say whose assistant did it, not just that something changed. That way a manager reviewing a deal can tell the rep's own work from their assistant's work.

In bkd.ai, an assistant's note is signed with the rep's name and the assistant's, and each action it applies adds a line to the customer's timeline with the assistant's logo. Admins see which reps have connected which assistants on the My AI agents page, and set the highest access level anyone at the dealership can use.

Frequently asked questions

Which AI assistants work with bkd.ai?

bkd.ai's My AI agents page has guided setup for Claude, ChatGPT, Grok, Meta's Muse and Hermes. Each rep connects their own assistant from Settings, either by signing in or with a personal key, and the assistant then works with that rep's customers under that rep's access and nothing wider.

Can an AI assistant see other salespeople's customers?

Not unless the salesperson can. A connected assistant signs in as the rep and follows the same visibility rules as bkd.ai itself. If a rep cannot open a customer in the app, their assistant cannot read that customer's details, conversations or notes either. Managers' assistants see what managers see.

Can a rep's AI assistant send texts to customers?

Only if an admin allows messaging for the dealership, and even then the assistant only drafts. The rep reviews each draft and confirms it before anything sends, from the rep's own number or mailbox. Messages to customers marked Do Not Contact, or outside texting hours, are refused.

Can a dealership limit what AI assistants are allowed to do?

Yes. An admin sets the highest access level any assistant at the dealership can have: read only, act on records, or draft messages. Messaging starts switched off. Admins also see a table of which reps have connected which assistants, so nothing gets connected without the store knowing about it.
